Guides for setting up and running your program on EntryHead.
Manage judging criteria at Admin → Setup → Judging Criteria: either one shared set used by every category, or per-category assignment with its own weight, min/max score and step for each category.
Add or edit categories at Admin → Setup → Categories (or "Entry Form" for single-category programs): set the name, fee, category type, and open/closed flags; preview exactly what entrants will see.
Add eligibility rules at Admin → Setup → Eligibility: each rule is a statement the entrant must confirm ("Yes") before entering, assignable to specific categories or all of them.
Add or edit entry-form questions at Admin → Setup → Questions: supports text, textarea with word limits, dropdown/radio/checkbox, date/number, and file/image/video/audio uploads, each assignable to specific categories or all of them.
Add a judge at Admin → Judging → Judges → "+ New Judge", then tick the categories they'll judge. Use Allocate Judges to assign many judges across categories at once.
Admin → AI Rules has three pages that steer the program's AI-generated content: Entry Text Rules (finalist listings), Citation Rules (winner citations), and Judging Guidelines (what counts as a real judge comment vs a generic one).
Set your program's colours, logo and fonts at Admin → Theme → Look & Feel, and configure your sending address and branded email templates at Admin → Theme → Email Setup.
Admin → Feedback Form builds a survey entrants fill in ("Leave Feedback" in their menu); Admin → Feedback Results shows the aggregated answers: rating/choice questions as counts, text answers as a list.
Admin → Category Types groups your categories (e.g. "Event" vs "Achievement") so you can give each group its own AI entry-text and citation-writing rules, instead of one rule set for the whole program.
"Check Judging" (lead judges and chairpersons) shows a per-judge progress grid for each category you lead, plus any judge comments an admin has flagged for review.
Judge comments and results appear under "Judge Comments" on your main menu once the program organiser releases them; they aren't visible immediately after judging.
Pick how judges' raw scores combine into a final score at Admin → Program → Scoring: Moderated (normalises harsh/lenient judges), Simple average, Average out of 100, or Sum, plus any AI-built custom methods approved for this program.
Admin → User Pages lets you author your own rich-text pages (rules, FAQs, extra info) and choose which roles (entrant, judge, admin) see a link to each one in their menu.
After judging, run Calc Final Scores, optionally use Finalist Review to pick finalists, then Winner Nomination, with AI-drafted Entry Text, Citations and a Finalist VO Script for presentation night, all under Admin → Tools.
"Leave Feedback" on your menu opens the program's feedback survey: some questions may be anonymous, meaning the organiser sees your answer but not that it came from you.
Manage user accounts at Admin → Manage Users: each account can be an admin and/or a judge (with categories to judge), and payments can be enabled per account.
"Winner Nomination" lets a lead judge (and, depending on program settings, any judge) put forward a winner for a category from its finalists.
Build and test everything for free with up to your team's user limit; launch (unlimited users, public self-registration, an open portal) via Admin → Upgrade Plan, a one-time fee per program cycle.
Find your invoices under "My Invoices" and make a payment under "My Payments" on your main menu: a promo code, if the program has one, is entered during payment.
Admin → Program Settings controls the default open/closed state for entries, payments and judging, lets you flag per-category or per-judge exceptions, sets the judge conflict-of-interest policy, and checks whether you're ready to go live.
"Review Nominees" appears once a category enters the finalist-review phase. Judges and lead judges can see the finalists so far and nominate a non-finalist entry for a second look, with a reason.
Score your assigned entries from "To Judge" on your main menu: enter a score per criterion plus comments; comments must be specific enough to pass an automatic quality check before they save.
An entrant record (name, legal entity, ABN, address, contact details) is set up once under "My Entrants" and then attached to one or more entries; it's separate from the entry's own questions and answers.
Connect a payment gateway (Stripe or eWAY) from Admin → Program, then manage payments at Admin → Payments: receive a payment manually, issue a refund, or create an invoice.
The guided Setup Wizard (Admin → Tools → Setup Wizard) walks through branding, categories, judging and pricing, and can import your existing categories/questions/criteria from uploaded documents. The in-portal Setup Checklist tracks what's left before launch.
Start a new entry from "New Entry" on your main menu, answer the questions for your category, and save as you go: your answers autosave so you won't lose work.
"My Account" on your menu lets you update your name, email, organisation, phone/mobile and address, and change your password.
Upload images, video, audio or documents directly on the relevant question in your entry form; upload one at a time and wait for each to finish before moving on.
"Categories & Costs" on your menu lists every category open for entry along with its fee, so you can check what's available and what it costs before starting an entry.
Ask EntryHead (Admin → Ask EntryHead) can build a discount, a read-only report, or a new scoring method by conversation; answer platform how-to questions directly; take bug reports; and collect feedback that AI-generated output looks wrong.
"Wildcard Nomination" lets a judge (or chairperson) put forward a non-finalist entry they scored as a genuine contender, separate from the regular finalist-selection process.
Simple average of raw scores, then rescaled to a 0–100 range (mean ÷ score-max × 100).
Normalises each judge's scores to a target mean/SD, moderates judges against the lead, then averages: cancels out harsh vs lenient judges.
Plain arithmetic mean of the judges' raw scores per entry: no scaling or moderation.
